ORDER PLANNING

Give a trial order a clear next step.

Separate your first-order needs from a possible repeat purchasing plan.

Explain the purpose of the trial

Say whether you are reviewing a material in production, testing customer response or assessing a packing format. Describe the quantity you want to discuss and the decision the trial is intended to support. Availability and feasible order size still need confirmation.

Keep the trial specification explicit

List the product requirements, packing, delivery point and review criteria for the first order. Identify any details that differ from your intended repeat orders so a small trial does not become an unclear model for later purchases.

Share forecasts as forecasts

If you expect future demand, describe the approximate quantity and purchasing frequency as a planning estimate. Distinguish that estimate from the quantity you are requesting now. Discuss future supply, preparation and packing arrangements separately rather than assuming they are reserved.

Review before repeating

After the trial, record what worked and what needs to change. Reconfirm the specification, actual material, quantity, packing and commercial terms for each subsequent proposal. Keep one current brief so both parties can identify any revisions.
