SAMPLES & REVIEW

Make the sample part of a clear review process.

Agree what to evaluate, how to record it and what a sample can confirm.

Define the question first

Explain what your team wants to learn from the sample. This might be appearance, size, processing suitability or a particular test result. List the acceptance criteria before requesting material so the review has a clear purpose.

Identify what is being sampled

Ask which proposed material or batch the sample relates to and how it will be identified. Discuss the sample quantity, preparation, packing and any accompanying information your reviewer needs. Confirm arrangements and costs before dispatch.

Keep a useful review record

Record the sample reference, date received, photographs and observations against your written criteria. If testing is needed, discuss the method, reviewer and reporting format with the relevant parties. Separate measured results from visual impressions.

Connect the review to the proposal

Share clear feedback, including any changes you need. Ask how the agreed specification will be checked for the actual order. Approval of a sample should not leave the identity or acceptance requirements of the proposed shipment unclear.
